ACCEPTABLE BEHAVIOUR POLICY
The Company is committed to providing a positive experience for all employees, suppliers, contractors, and customers alike.
As members of the Company community, we expect the highest standards of behaviour from our employees, whether on Company premises or elsewhere. All employees of the Company should be aware of their own behaviour and how it impacts on others and conduct themselves in a reasonable and acceptable manner. Employee conduct is governed by our internal Harassment and Bullying Policy.
In turn, the company recognizes that all employees have the right to be treated with dignity and respect whether on our premises or elsewhere whilst performing their duties. Any behaviour that contravenes an employee’s rights to be treated with consideration, dignity and respect is unacceptable.
This policy sets out what should be done if an individual feels that an employee, or member of the public (contractor, supplier, customer etc.) has behaved in an unacceptable manner towards them, whether on or off Company premises.
The following options are available to an individual who experiences behaviour that they consider unacceptable:
- Speak directly to the person responsible for the behaviour – they may genuinely not know that they are acting in a way that’s unacceptable to you. Please note, the individual should only take this approach if they feel comfortable taking this step, or if it is appropriate.
- Discuss the matter with the relevant Manager or call your regular contact at Prestige to raise your concerns.
- Employees:
- Use the confidential online reporting tool to inform the Company about inappropriate behaviour they have observed or experienced, without formal action being taken.
- Submit a formal complaint under our internal Grievance policy.
- Members of the public (contractors, suppliers, customers etc):
- Submit a formal complaint to the Company in writing, addressed to the Head of HR.
- In the majority of cases information will be treated as confidential. However, there may be exceptional circumstances where it is not be possible for confidentiality to be maintained, for instance where a criminal offence has been disclosed. Please be aware that in some circumstances a request for confidentiality may make it difficult for the Company to assist with a complaint.
- Any allegations of criminal acts such as physical assault, rape or sexual assault should be reported to the police immediately. The Company may report allegations of criminal activity to the police.
A company representative will respond to any complaint received as soon as possible, normally within 10 working days of receiving the complaint.
The Company will consider if all reasonable steps have been taken to resolve the issue informally.
In some cases, the Company might find a way to resolve the complaint through informal means that have not yet been explored or through mediation, involving other members of staff as appropriate.
Where informal resolution is not possible or where the matter is deemed more serious, the complaint may be referred for consideration under the Company Disciplinary Policy. Should an employee make a complaint against a member of the public, the Company will look at the avenues of resolution available and take appropriate action if deemed necessary.
It may not be possible to address allegations against individuals who are not employees of the Company such as agency or contract workers - as they are not subject to the Company’s internal procedures. In these circumstances, you will be advised of other possible ways to pursue your complaint.
Please note that reasonable requests made of employees by members of the public, and legitimate and constructive criticism of an employee’s performance or behaviour will not constitute unacceptable behaviour.
